Initial IACUC Submission

The initial IACUC Application is intended to detail the proposed research or teaching activities that involve the care and/or use of animals. The initial IACUC Application should be accompanied by documents that supplement the information provided in the application.

Initial Submission Checklist

A complete initial IACUC submission increases the chance of approval. Under PHS Policy, a complete review by the IACUC is required at least once every three years. The following information should be included in an initial submission for IACUC review:

  • A complete IACUC Application. Responses should be clear and concise to improve readability. Complete all fields. Fields that are not applicable to the study should indicate so.

  • All research personnel and their study role must be defined in the IACUC Application. Please note that student researchers cannot be listed as the Principal Investigator (PI) on an IACUC study. A full-time faculty member must agree to accept responsibility for the project and serve as the PI. The student researcher must then be identified as the Student Investigator (SI) or in some cases, a Co-PI.

  • The C/V, biosketch, or resume of ALL study personnel

  • CITI training certificates of completion of ALL study personnel for ALL required CITI modules. For more information on CITI training requirements, go to [Link to CITI Page]

  • The Department Chairperson and Dean (or Associate Dean for Research) must approve the initial submission. These individuals must be defined in the IACUC Application so that their approval may be requested.

  • A copy of the project proposal or study protocol. The information in the IACUC Application should coincide with the information in the project proposal or study protocol.

  • A flow chart(s) that illustrates all procedures that groups of animals will undergo from the beginning to the end of the study. Make sure that animal numbers in the chart(s) agree with those in the IACUC Application.

  • Letters of support from entities providing resources or services for the study, if applicable. This does not include animal vendors.

  • If applicable, the status of any ancillary reviews (IRB, IBC, or Radiation Safety) associated with this study.

  • Material Transfer Agreements or Data Use Agreements if material or data will be shared with another entity. Either agreement can be initiated in iRIS by completing a Material Transfer Agreement Application.

Just-In-Time (JIT) Notifications

JIT notifications sometimes come with a request to provide a rapid turn-around for IACUC review. JIT notices must be read carefully so that the requirements are understood.

JITs do not warrant immediate review and will be scheduled for review at the next available IACUC meeting. The investigator must update the funding entity of study's expected IACUC review date.
